How to solve communication problems in the organization?

Communication problems in organizations manifest at many levels.

The first of these concerns the lack of efficiency in team operations. Team members do not get along, do not make decisions, and often fall into conflicts. They are frustrated, demotivated, and discouraged because they feel a lack of influence, inefficiency, or wasting time.

The second concerns ineffective meetings. There are too many of them, they last too long, and they do not bring real benefits to the organization.

The third concerns an excessive amount of information, often of poor quality, within the organization. This leads to information chaos, employee disorientation, and often incorrect actions or decisions.

The fourth concerns the low quality of communication with decision-makers. The information conveyed by teams is unclear, not tailored to the needs of management, and too technical. Conflicts and problems that should be resolved at the team level are unnecessarily escalated to managerial levels.

Communication training is often insufficient

If your organization has problems resulting from ineffective communication, it is possible that attempts have already been made to solve them through communication training. If you are on my page, they were probably not effective enough.

This stems from the difference between training and workshop formats.

Focusing on a narrow area


Training often focuses on improving selected skills and does not allow participants to see the connections and consequences of actions taken in different areas of the organization. As a result, their application often has little impact on the organization as a whole.

Delivering dry knowledge


Providing knowledge is not the same as providing skills. After training, the participant usually has to independently translate theoretical knowledge into real and effective solutions, which is not easy and often results in the training not being implemented in daily behaviors.

Theoretical examples


Trainings usually rely on pre-prepared theoretical cases, which often do not relate to the problems that the participant needs to solve here and now. Trainers do not delve into the specific problems of participants to avoid taking responsibility for finding solutions.

Lack of managerial support


Managers, especially at higher levels, often do not participate in team training sessions, and therefore do not see what tools people have received, how to support their implementation, or what to expect from them. As a result, the acquired knowledge atrophies because it is not useful from the employee's perspective.

Difficulty in achieving "critical mass"


Very often, typical training sessions do not achieve the "critical mass" needed to have a real impact on the organization's operations. The lack of work on organizational examples and the lack of manager involvement result in the absence of common patterns, action schemes, or "keywords."

"From A to B" model


Trainings are often based on discussing "situation A" and "reaction B." The problem is that model "situations A" very rarely occur in organizations in their pure form, so "reactions B" usually prove ineffective in the real business environment.

We won't find time to conduct the Sense-Making Workshop

Especially when there's "little time," it's worth calculating how much time in the organization is spent on ineffective meetings, misunderstandings, conflicts, and ineffective communication. Often, the benefits of investing time in Sense-Making then become more obvious. At the same time, the Workshop format (short sessions, entirely online) makes it possible to conduct the Workshop in short time intervals, which greatly facilitates efficient skill enhancement and improvement of the situation in the organization.

Who will discipline our managers to do this?

If this question arises, it means that Sense-Making is even more necessary in your organization. The situation indicates that people have problems with priorities and time management, making it difficult for them to identify elements they should focus on to have the greatest impact on the organization. For example, they engage in micromanagement. Sense-Making structurally teaches how to choose the most important things, not just in relation to communication itself. It's worth asking how internal communication looks in the company if managers are not aware that it's important for the organization for them to be better at communication.

Will implementing Sense-Making within the organization require a lot of effort?

It all depends on the level at which you want to do it, but like any change, it will of course require effort. However, Sense-Making doesn't always need to or can be introduced throughout the entire organization. Sometimes it's enough to implement it at points that have the greatest impact on the organization. These can be people, organizational units, or processes.

Will we get a discount for a larger number of people?

No, because this is a workshop, so there's no scale effect here. The entire market has the same prices, including clients who have been working with me for years. The reasons are therefore both substantive and ethical.

Online format is not for us!

18 years of operating in-person and 4 years online show that online is currently an effective and convenient form for Clients. The only thing this form doesn't account for is the so-called "group process". This can be implemented in a different form at a later stage of collaboration. In exchange for the lack of group process, you get a very individual approach and great comfort for the participant, who in a 1:1 format can work and analyze in a safe environment.

The unique form of online hybrid is essentially unprecedented in the market and impossible to compare with traditional "online trainings".

The approach of "which is better," meaning either-or, instead of "and," is, in my opinion, flawed. Online has its own specifics, and they should be fully utilized.

Online enables better management of building competencies within an organization. In the traditional setup, there are group sessions. When a new person joins the team, how can you quickly bring just that one new person up to speed in group sessions? In the applied online model based on individual access, you can quickly equalize their competency level. Therefore, if we want to build competencies sustainably, considering the frequent turnover nowadays, the online format is the best for organizations.

The management believes that communication is not a priority and that the focus should be on other things.

Maybe it's worth using other arguments, such as financial ones. Calculate how much ineffective meetings cost, especially when involving people with often high salaries. How much do poor decisions, conflicts, and unnecessary escalation within the team cost? How much do inefficiently implemented changes due to communication errors cost? Sometimes the simplest solution is for those who communicate with the management to complete the Sense-Making Workshop first.

We have a framework agreement with a company that provides us with everything.

I often work with such companies because other firms do not provide the Sense-Making Workshop. It is a proprietary program, legally protected. I, on the other hand, focus exclusively on delivering products from the Sense-Making family.

We have a "leader academy" or another dedicated development program.

In many cases, the Sense-Making Workshop is added as a complement to the "leader academy," even though the entire leadership program is delivered by another company.

We have purchased access to a training platform, and employees can take the courses they want.

If you want to provide them with skills (workshops) in addition to knowledge (training), it is worth considering the Sense-Making Workshop as a complement that will give employees concrete skills useful in the organization.
